SSR 2017 Call for Abstracts

Abstract Acceptance Notifications have been sent! If you submitted an abstract, you may go to the site and check the status of your abstract and read the acceptance email (SSR 2017 abstract submission site). SSR 2017 Abstracts

The SSR Program Committee welcomes abstracts reporting new basic, clinical, and/or translational research findings in the field of reproduction. You do not need to be a Member of SSR to submit an abstract. There are no restrictions on species involved. Please adhere to all rules for the submission and format of abstracts. Failure to comply may be cause for rejection.

Confirmation of Submission

All authors of each abstract will receive an automated e-mail confirmation containing a submission ID number.

SSR Program Assignments

The SSR Program Committee will review each abstract for scientific merit and content and will honor presentation preference when possible. Most abstracts will be presented as posters; ~75 abstracts will be selected for oral presentations (15 minutes) in Symposia and up to 120 abstracts will be selected for Flash Talks (3 minutes; see below). Each Symposium will include two or three short oral presentations (15 minutes each) selected from the abstracts, as well as two invited talks. (Invited speakers will have a separate submission process and will receive notification at the time the site is ready.)

At submission, you must indicate your presentation preference: Oral Talk, Poster ONLY, Poster with Flash Talk, or No Preference. Choosing an oral talk or flash talk does NOT ensure you will be selected for an oral or flash talk. Organizers of the Symposia and two invited reviewers will review and rank all submitted abstracts. Highly ranked abstracts that fit the topic of a Symposium will be selected for an oral presentation. In addition, 120 highly ranked abstracts may also be selected to present a Poster Flash Talk (details below) on the first afternoon of the Annual Meeting, Thursday, 13 July. Abstracts selected for Poster Flash Talks will also present a poster during the final poster session on Sunday afternoon, 16 July.

Posters: All posters will be presented at their scheduled times during afternoon poster sessions. The past two meetings encouraged poster presenters to provide an audio description of their posters that attendees accessed by scanning a QR code on the poster. This year, the Program Committee will allow QRs, if presenters wish to do so, and poster presenters may use a QR code for any supplemental information, including audio description, multimedia files, statistical data, jpeg of the poster, etc. This supplemental data is for attendees only and will not affect awards evaluation (e.g., poster presenters who are finalists in the Trainee Research Competition).

Poster Flash Talks: Highly ranked abstracts accepted for poster presentation may also be selected to present a Poster Flash Talk early on the afternoon of Thursday, 13 July 2017, in a session immediately preceding the formal opening ceremony. Poster Talks will highlight the poster and be limited to two slides (no animations), one of which lists the title, authors, affiliations, and abstract number, and three minutes in length. Poster presenters will formally present their posters during Poster Session C on Sunday afternoon. Therefore, presenters must indicate "Poster with Flash Talk" when they submit their abstract. It is understood by the presenter that the poster talk is on Thursday afternoon and the regular poster presentation is Sunday afternoon; thus, personal travel arrangements should account for this schedule if selected for a Poster Flash Talk.

Education and Research Resources Posters: The SSR Program Committee encourages presentations on teaching methodologies, databases, and resources of interest to the reproductive biology community. These abstracts will be considered for poster presentation only. Submissions in this topic area will not count against the abstract limit for research presentations (i.e., you may present [be the first author of] both a research and an education and research resources abstract). Please contact the SSR Business Office if you have questions.

ASAS-SSR Triennial Reproduction Symposium: In honor of SSR's 50th Anniversary, a joint Triennial Reproduction Symposium will be on Thursday, 13 July 2017, from 8:30 am - 3:00 pm, jointly hosted by SSR and ASAS. The ASAS annual meeting in Baltimore precedes SSR's annual meeting. The Triennial Reproduction Symposium is focused on large animal/domestic livestock (USDA-related species) reproduction. During abstract submission to the SSR, if your abstract covers this area of focus, you may request that your abstract is considered for presentation at the Joint Symposium as well as for the SSR annual meeting; these abstracts will be reviewed separately for each meeting. Five abstracts will be selected for oral talks and up to 60 posters will be presented in the Symposium. It is possible for an abstract to be accepted for presentation in one format for the Joint Symposium and in another format for either the ASAS or SSR Annual Meetings; for example, a poster presentation in one and an oral in the other. In addition, abstracts selected for poster presentation will compete for 7 poster presentation awards. All Abstracts Must Be Submitted Online

The submission deadline is midnight (EST), 7 March 2017. Please see the Submission Procedures below for specific instructions. You will be able to save your submission-in-progress in the system; however, the submission must be completed and uploaded by the submission deadline.

Notification of Acceptance

All authors will be notified by e-mail of the SSR Program Committee's decision regarding acceptance of the abstract approximately 6–7 weeks after the abstract submission deadline. For information about visas and/or formal letters of invitation, please go to this page.

Publication

The SSR no longer publishes abstracts in a special issue of its journal, Biology of Reproduction. The abstracts will be available electronically to Annual Meeting participants on the SSR web site and other formats.

Rules Governing Submission of Abstracts

  1. General Requirements: Data and conclusions presented at the meeting must be based on the same research described in the submitted abstract. It is expected that the presentation will contain reference to new and unpublished information.

  2. SSR Membership: Membership in SSR is not a prerequisite for submission of an abstract. (Note: SSR Trainee Membership is a prerequisite for consideration for the Larry Ewing Memorial Trainee Travel Fund, Trainee Research Awards, USDA–NIFA–AFRI Merit Awards, Lalor Foundation Merit Awards, and Asia-Pacific Biomedical Research Foundation Merit Awards. Please see Rule 9 below and the Trainee Merit Awards page for more information.)

  3. Authorship: An individual may be first or presenting author on no more than two abstracts. An individual may be selected to present only one abstract as an oral talk at the meeting, and abstracts not selected for oral presentation will be expected to be presented by the submitting author as a poster. However, an author's name may appear on multiple abstracts. Every author must have a unique e-mail address at which he or she may be contacted. All authors will be notified when the abstract is submitted. Please remember to contact co-authors prior to submission. The SSR Business Office will check first authors prior to review and will contact you if you are listed as first author on more than two abstracts; you will be asked to either confer with your co-authors and change the first author of one of the abstracts (requiring the new first author to confirm expected attendance at the Annual Meeting) or you will be asked to withdraw one of the abstracts. The Program Committee will not make this choice for you.

  4. Presentation: The first author must present the abstract. Any exception must be approved by the Chairs of the Program Committee more than one week prior to the start of the meeting. Only a co-author of the abstract will be considered an acceptable replacement and that co-author should not be giving another presentation at this meeting. Each co-author must agree in principle with the information and conclusions contained within the abstract.

  5. Meeting Attendance: Submission of an abstract constitutes an agreement that the presenting author will attend the meeting to present the abstract if the abstract is accepted. The presenting author must register for the Annual Meeting before the registration deadline. If the presenting author has not registered by this deadline and is chosen for an Oral Talk or for a Poster Flash Talk presentation, the meeting staff will attempt to contact the author. If the presenting author does not respond in a timely manner, another abstract will be chosen for oral presentation or poster talk.

  6. Certification: The presenting author must certify that the conditions for submission have been satisfied and that all animal and human welfare and ethical considerations have been met. Abstracts that violate these ethics will be rejected.

  7. Content: Abstracts must be written in clear, concise, and grammatically correct American English. Abstracts must contain the following:

    1. statement of specific objectives, unless included in the title;
    2. brief statement of methods, if pertinent;
    3. summary of results (including number of subjects per group or number of replicates per treatment), pertinent data, and statistical analyses; and
    4. statement of conclusions.

    Please view the sample abstracts document for layout and formatting examples. Financial support should be listed at the end of the abstract. Do not use headers (e.g., objectives, methods) in your abstract. Do not put in any paragraph breaks. Do not use phrases such as "will be discussed" or "will be presented." Avoid abbreviations and acronyms, and do not cite references. Do not include tables, figures, or references. Abstracts may not contain any type of advertising or logo, including trademark and copyright symbols.

    Nomenclature: The SSR requires use of approved gene and protein nomenclature. Please refer to the Nomenclature Guidelines and Requirements for the Society's journal, Biology of Reproduction, for specific instructions for gene/protein names/symbols and correct formatting.
  8. Format: The title may not exceed 200 characters. Type the title in lower case with initial letters capitalized (title case), using italics as necessary. Please use appropriate ending punctuation (period/full stop or question mark). Spell out Greek characters as they will not be retained. Text formatting for genetic or scientific nomenclature such as superscripts, subscripts, and italics, will not be retained unless you place appropriate HTML tagging around the text (e.g., <i>Ldhc</i> gene; 10<sup>7</sup>; PGF<sub> 2alpha</sub>). Please use tags as follows:

  9. The abstract—excluding title, authors, and affiliations—may not exceed 500 words. You may cut and paste your abstract into the space; formatting and special characters will retain their integrity. If your abstract is too long, it will be truncated as necessary; please check the word count before entering your abstract in the system.

  10. Competitions: Individuals wishing to be considered for SSR Trainee Merit Awards (SSR Trainee Research Awards, USDA–NIFA–AFRI Merit Awards, Lalor Foundation Merit Awards, and Asia-Pacific Biomedical Research Foundation Merit Awards) must indicate their eligibility at the time the abstract is submitted, be fully qualified to compete for each award indicated, and, as presenting author, have played a major role in the design and implementation of the experiments, analysis of the data, interpretation of the results, and writing of the abstract. The Awards Committee will select finalists on the basis of an evaluation of the meeting abstracts submitted for competition. Please read the Travel Grants and Fellowships and Trainee Merit Awards pages for further details. NOTE: Abstracts selected for the SSR Trainee Research Award Oral Competition will not be eligible for presentation in a Symposium. Finalists in the Poster Competition may be selected for a Poster Flash Talk but must present for the competition and Awards Committee Review in one of the regular poster sessions.

  11. Withdrawal: If an abstract must be withdrawn, written notice of withdrawal—signed by the presenting author—must be submitted (by fax, e-mail, or regular mail) to the SSR Business Office. This notice must state the reason(s) for withdrawal of the abstract and attest that all authors agree that the abstract must be withdrawn. All authors will receive a written confirmation of the withdrawal by e-mail.

  12. Disclosure of Affiliations: Each author must disclose any financial, personal, or professional relationships with other people or organizations that could reasonably be perceived as conflicts of interest or as potentially influencing or biasing their work. Author(s) disclosure(s) must appear on the oral abstract presentation slides or poster presentation board.

Submission Process for Meeting Abstracts

All abstracts MUST be submitted online using the SSR 2017 Online Abstract Submission Site; the link will be available in early January.

Before submitting an abstract, you must be a registered user on the site:

  • Go to the submission site and, if you submitted an abstract last year, either log-in with your username/password or, under "FIRST-TIME USER" on the left, click "Click Here to Create a Profile."
  • User Profile and Login Information: Complete the fields on this page including your password; click "Create Profile" at the bottom. You will automatically be logged in after you create a profile.
  • All users, once logged-in, can update their Profile at anytime as well as edit their abstract up to the submission deadline. Please do not create multiple accounts. If you are being listed as a co-author on another abstract, please make sure that the submitter has your correct email address that you used to create your account. This ensures that when you go to your Profile page, you see all the abstracts on which you are an author.

You may begin the submission process, save your abstract, and return to continue working on it at any time up until the deadline. When you have completed or updated your submission, all authors will receive an e-mail confirmation.

Steps to Submit an Abstract

*Invited Speakers (e.g., Keynote Address, President's Symposium, Trainee Forum, Diversity Symposium, etc.) will have a separate submission process and will be notified when to submit meeting abstracts.

Once completed, you will be returned to your Submission Home page where you can view, edit, or withdraw this abstract until the Submission Deadline, 7 March 2017. No corrections will be made to abstracts after the deadline. If you need to withdraw the abstract after the deadline has passed, you must contact the SSR Business Office. (see Rule #10 of the "Rules Governing Submission of Abstracts")

Trainee Members who submit an abstract for the Annual Meeting and wish to be considered for an LEMTTF grant should complete the LEMTTF application form after the abstract is submitted.

  1. Click on the "New Abstract" link to begin your new submission. Remember that you may be first author on only two abstracts, not including Education and Research Resources poster abstracts. Note that by clicking "New Abstract" and creating an abstract submission, you are agreeing to abide by the SSR's deadlines and rules governing abstracts.

  2. Complete Affirmations.

  3. Complete Conflict of Interest/Disclosure Statement.

  4. Indicate if you would like your abstract considered for presentation at the ASAS-SSR Joint Triennial Reproduction Symposium.

  5. Indicate Larry Ewing Memorial Trainee Travel Fund (LEMTTF) application (yes or no). Note that indicating Yes here does NOT complete your application. Staff will use this indication to make sure you are eligible and have completed the separate application form. Please review LEMTTF information here.

  6. Indicate Eligibility/Consideration for SSR Trainee Merit Award(s). Please review Trainee Merit Awards here.

  7. Paste or type in the Title.

  8. Paste or type in the Author list. You will also enter co-authors individually in the next abstract submission step. This text box will be used for online and print presentation only and must match the author order as indicated by first (presenting) author and the co-authors listed in the co-author area.

  9. Paste or type in the Affiliations. You will also list affiliations with co-authors in the next step of abstract submission. This text box will be used for online and print presentation only.

  10. Paste or type in the Abstract. The body of the abstract (excluding title, authors, and affiliations) may not exceed 500 words. If your abstract is too long, it will be truncated. Do not have multiple paragraphs or section heads. Grant information may be included at the end of the abstract but will be included in the word limit. Special characters and Greek letters cut and pasted from Microsoft Word will be retained. This is the version that will be reviewed by the Program and Awards Committees.

  15. Submission Received screen: Click "Add Authors" to add presenting author and co-authors.

  16. Add/Edit Authors: Select "Add Existing Contact as Co-Author" or "Add New Contact as Co-Author" and add each author's name, institution, city, state, country, and e-mail address in the order he/she appears on the abstract. Each author's individual e-mail address must be provided.

  17. To remove an author, click "Remove Author."

  18. To reorder the list, click and drag an author to a new position.

  19. Indicate Primary Presenter by selecting "Mark Primary Presenter" and move this author to appear first in the author order.

  20. Click the link "Click here if you are finished editing your co-authors."

  21. Your submission is now complete, but may be edited at any time prior to the deadline. Each author will receive a confirmation email now and if you edit the submission prior to the deadline. Please make a note of your submission reference ID number for future reference and correspondence with the SSR Business Office.

You will now be returned to your Submission Home page where you can view, edit, or withdraw this abstract until the Submission Deadline, 7 March 2017.
